Job Summary:
The Administrative Associate in the President’s Office at GIU provides high-level administrative support to the President, ensuring efficient office operations and effective communication with faculty, staff, students, and external stakeholders. The role requires exceptional organizational skills, professionalism, and discretion, contributing to the smooth functioning of the President’s Office in alignment with GIU’s mission of academic excellence and international standards.

Key Responsibilities:

Executive Administrative Support:
Manage the President’s calendar, appointments, and meetings efficiently.
Prepare, proofread, and format correspondence, presentations, and reports with high accuracy.
Organize and maintain physical and digital records in line with GIU’s policies.

Communication and Liaison:
Serve as a primary point of contact between the President’s Office and internal departments, faculty, students, and external partners.
Handle emails, calls, and inquiries professionally, ensuring timely responses.
Facilitate coordination and follow-ups on university initiatives and projects.

Meeting and Event Coordination:
Organize executive meetings, workshops, and university events, including agenda preparation and logistics.
Record and distribute meeting minutes, and track action items to completion.

Project Support:
Assist with special projects, research, and university initiatives as requested by the President.
Track progress and deadlines for ongoing projects in collaboration with relevant departments.

Confidentiality and Professionalism:
Maintain strict confidentiality with sensitive information.
Represent the President’s Office professionally in all internal and external interactions.

Qualifications:
Bachelor’s degree in Business Administration, Management, or a related field
Strong proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and digital office tools.
Excellent organizational, communication, and interpersonal skills.
Ability to handle multiple tasks, prioritize effectively, and work independently.
High level of discretion, professionalism, and reliability.
Excellent English and very good Arabic communication skills.
German language skills are a plus.
High level of professionalism and discretion.
